Author Guideline

To ensure your final paper is IEEE Xplore-compatible, you must use IEEE PDF eXpress to check or create your PDF. Please follow all steps below carefully.

Step 1: Prepare Your Final Manuscript

  • Revise your paper in accordance with reviewer comments.
  • Format your paper using the official IEEE conference template:
    https://www.ieee.org/conferences/publishing/templates.html
  • Ensure you adhere to page limits and formatting rules as specified by MLCAD. This includes 6 pages not including references or any appendices.
  • Do not remove material from your paper.

Step 2: Apply the Correct Copyright Notice

Before generating the final PDF, you must include the appropriate IEEE copyright notice at the bottom of the first page of your paper (typically in the footer). Choose the correct statement based on author affiliation:

  • U.S. Government authors only:
    U.S. Government work not protected by U.S. copyright
  • Crown government authors only (UK, Canada, Australia):
    979-8-3315-3762-3/25/$31.00 ©2025 Crown
  • European Union authors only:
    979-8-3315-3762-3/25/$31.00 ©2025 European Union
  • All other authors:
    979-8-3315-3762-3/25/$31.00 ©2025 IEEE

Step 3: Use IEEE PDF eXpress

  1. Visit: https://ieee-pdf-express.org/
  2. Click “Create Account” or log in if you already have one.
  3. Enter:
    • Conference ID: 65511X
    • Your email address
    • A password of your choosing
  4. Upload your PDF to check compliance, or upload your source file (Word or LaTeX) to generate a compliant PDF.
  5. Once approved, download the Xplore-compliant PDF.

Step 4: Final Submission

  • IEEE PDF eXpress will collect your final PDF for inclusion in the proceedings.
  • Note that you need to click “Approve” to successfully finalize your submission after the PDF has passed verification.

Step 5: eCopyright Transfer

In the next week, you should receive an email to sign the eCopyright transfer agreement with IEEE. This will be sent to the main author and must be signed before the paper will be accepted by IEEE.

Final Checklist

  • Include the appropriate copyright in your paper
  • Verify your PDF using IEEE PDF eXpress
    • Used the correct IEEE template
    • No page numbers, headers, or footers added manually
    • Fonts are embedded and all figures are legible
    • Adhere to the page limit requirements
  • Submit the final PDF via IEEE PDF eXpress
  • Sign the eCopyright transfer form
